Handling Your Data

Confidentiality

As a matter of principle, we treat your personal data confidentially and do not pass it on to third parties. Should it become necessary from our point of view to provide third parties with information about your person in order to fulfil a legal obligation or to further clarify the incident you have reported, we will contact you beforehand.

Voluntariness

Information about yourself as a whistleblower is voluntary. However, disclosing your identity or, if applicable, contact details will improve communication between you and the central compliance management and thus speed up the process of clarifying the whistleblowing.

Consent and purpose of data processing

If you provide information on your person, you consent with your report that we may process data on your person for the purpose of clarifying the reported incident or for contacting you. This means that your data will be stored in our whistleblower system. You can revoke your consent at any time for the future. The revocation takes effect upon receipt by the central compliance management.

What happens to a report?

A reported suspicion of rule violations will only be investigated further if it is based on concrete evidence. Only when a report is deemed plausible and credible do investigations begin. We do not conduct investigations without concrete indications. This is to prevent a misuse of the reporting system for false accusations.

All investigations are conducted fairly according to the principles of the rule of law and transparency. In all steps, the general personal rights of those involved are respected, as is data protection. The whistleblowers are protected. They do not have to fear that their communication and honesty will be interpreted negatively. Those affected are not prejudged. Until a violation of the rules is proven, the presumption of innocence applies.

Is my anonymity guaranteed?

The overriding principle of this reporting channel is the protection of the whistleblower. The strictly confidential treatment of your data is guaranteed at all times.

To protect your anonymity, we ask you to observe the following when submitting your report: Do not provide any information that allows conclusions to be drawn about your person if you do not wish to do so. Make sure you have a secure internet connection. You can recognize this by a lock symbol in the address bar of your browser. Use a private PC or a PC outside your company's network. When sending attachments, make sure that they do not contain any references to your person.

How are the anonymity and confidentiality of a report secured?

Only the authorized recipient at CIMH's central compliance management can access and process the report.
